Privacy policy
Last updated 19 October 2026
This Privacy Policy explains how Jupiter Degree College (“the College”, “we”, “us”), run by the Balaram Panda Memorial Charitable Trust, collects, uses, shares and protects personal data when you use jupiterdegree.in (the “Website”), and when you contact the College by WhatsApp, email or telephone through it.
We have written it to meet the Digital Personal Data Protection Act, 2023 (the “DPDP Act”), the Digital Personal Data Protection Rules, 2025, and the Information Technology Act, 2000 and the rules made under it. Where this Policy uses a term defined in the DPDP Act, it has the same meaning.
In short
- The Website does not store what you type. Its enquiry and job application forms email your details to the College office and send you a confirmation by email.
- The Website has no accounts, takes no payments, and sets no advertising or analytics cookies.
- We use your details only to answer your enquiry or application. We never sell them.
- You can ask to see, correct or delete your data, or withdraw consent, at any time — see Section 12.
1. Who we are
- 1.1
Jupiter Degree College, Near Old Toll Plaza, Adjacent to NH-16, Gangapada, Khurda, Bhubaneswar, Odisha 752054, is the Data Fiduciary for the personal data described in this Policy: it decides why and how that data is processed.
- 1.2
In this Policy, “personal data” means any data about an individual who can be identified by or from it; “you” or the “Data Principal” means the individual the data is about; and “processing” means anything done with personal data, including collecting, storing, using, sharing and erasing it.
2. What this policy covers
- 2.1
This Policy covers the Website and the enquiries, job applications and other messages that reach the College through it, whether you use a form, the WhatsApp button, the published telephone numbers or the published email address.
- 2.2
It does not cover:
- (a) admission applications made on the Government of Odisha’s Student Academic Management System (SAMS) portal, which the Government operates under its own privacy terms;
- (b) records kept by Utkal University, to which the College is affiliated;
- (c) the records of enrolled students and employees, which the College keeps for academic, administrative and statutory purposes;
- (d) websites and apps run by others, even where the Website links to them (see Section 7).
3. Personal data we collect
- 3.1
Admission enquiry form. Your full name, mobile number, email address, the programme you are interested in and, if you add one, a message. When you press send, the Website emails these details to the College office and sends a confirmation to the email address you gave. The Website does not keep a copy. If sending fails, the form offers to send the same enquiry by WhatsApp or from your own email app instead.
- 3.2
Job application form. The post you are applying for, your full name, telephone number, email address and highest qualification and, if you add them, your experience and a note. Like the enquiry form, it emails these details to the College office, sends you a confirmation and stores nothing. It does not ask for a CV; if you are shortlisted, the College may ask you for one.
- 3.3
Direct contact. If you call, message or email the College, we receive your telephone number or email address, the name shown on your account, and whatever you choose to tell us or send us.
- 3.4
Technical data. Like every website, the Website’s hosting provider processes the data your browser sends with each request — such as your IP address, browser and device type, the page requested, the time of the request and the referring page — to deliver pages and protect the Website against attacks. The College does not use this data to identify visitors and does not run analytics or advertising on the Website.
- 3.5
What we do not ask for. The Website does not ask for Aadhaar or other government identity numbers, bank or card details, passwords, health information or caste and category certificates. Please do not send such documents by WhatsApp or email unless the College office asks you to for a specific purpose.
4. Why we use it
- 4.1
We use personal data only for the purpose for which you gave it to us, namely:
- (a) to answer admission enquiries and share information about our programmes, admission process, hostels and facilities;
- (b) to arrange campus visits and hostel tours that you ask for;
- (c) to consider job applications, contact applicants and carry out recruitment;
- (d) to answer general questions, feedback and complaints;
- (e) to keep the Website available and secure;
- (f) to comply with the law and with lawful requests from courts, regulators and public authorities, and to establish or defend legal claims.
- 4.2
We contact you only about the enquiry or application you made, using the channel you used or the details you gave us. We will not add you to promotional broadcasts without your separate consent, and you can ask us to stop contacting you at any time.
- 4.3
We do not sell, rent or trade personal data, use it for advertising or profiling, or make decisions about you by automated means.
5. Consent and other lawful grounds
- 5.1
Consent. When you send us an enquiry, application or message, you consent to the College processing the data in it for the purposes in Section 4 that relate to it. Your consent is limited to those purposes.
- 5.2
Other lawful grounds. Where the DPDP Act allows processing without consent, we may rely on it — for example, to deal with information you have voluntarily given us for a specified purpose, for purposes related to employment, or to comply with the law or a judgment or order.
- 5.3
Withdrawing consent. You may withdraw your consent at any time, as easily as you gave it, by writing to the Grievance Officer (Section 15) or telling the College on the same WhatsApp number or email address. We will then stop processing your data and erase it, unless the law requires us to keep it. Withdrawal does not affect processing carried out before it, and we may no longer be able to help with your enquiry or application.
7. Other websites and apps
- 7.1
The Website links to services run by others, including WhatsApp, your email app, Google Maps (for directions), Facebook, Instagram and the Government of Odisha’s SAMS portal. When you follow such a link, the provider collects data under its own privacy policy, not this one. Please read their policies; the College is not responsible for them.
- 7.2
The Contact page shows an embedded Google Map of the campus. When that map loads, your browser connects to Google, which receives your IP address and request data and may set its own cookies, under Google’s privacy policy. The College receives none of this data.
9. Students under 18
- 9.1
The DPDP Act treats anyone under eighteen as a child. Many students who enquire about a degree are still completing Class 12, so we ask that an enquiry about a student under eighteen be made by, or with the knowledge of, the student’s parent or lawful guardian.
- 9.2
Where we process a child’s personal data, we do so with the consent of a parent or lawful guardian, or as the DPDP Act otherwise permits an educational institution to, and only in the child’s interest. We do not track or monitor the behaviour of children or direct advertising at them.
- 9.3
If you are a parent or guardian and believe your child has sent us personal data without your knowledge, contact the Grievance Officer. On verification, we will erase it.
10. How long we keep it
- 10.1
We keep personal data only as long as we need it for the purpose it was given for, or as long as the law requires, and then erase it:
- (a) admission enquiries — until the end of the admission session they relate to, and no longer than twelve months after our last contact with you;
- (b) job applications — until the post is filled and no longer than twelve months after that, unless you join the College or agree to us keeping your application for future openings;
- (c) complaints and grievances — until they are resolved and for any further period the law requires;
- (d) technical request data — for the short periods our hosting provider keeps it for security purposes.
- 10.2
Enquiries and applications that reach the College by form, WhatsApp or email are erased from the College’s accounts at the end of the period above. Copies in your own WhatsApp or email account, including the confirmation emails, remain under your control.
11. How we protect it
- 11.1
We take reasonable security safeguards to protect personal data against unauthorised access, use, disclosure, alteration and loss. They include serving the Website only over encrypted HTTPS, not storing form data on the Website at all, and limiting access to enquiries and applications to the staff who need them.
- 11.2
No system is completely secure. If a personal data breach occurs, we will inform the people affected without delay and report it to the Data Protection Board of India, as the DPDP Act and the Rules require.
12. Your rights
- 12.1
Under the DPDP Act you have the right:
- (a) to access a summary of the personal data we hold about you, the processing we do with it, and the identities of anyone we have shared it with;
- (b) to have inaccurate or misleading data corrected, incomplete data completed and out-of-date data updated;
- (c) to have your data erased once it is no longer needed, unless the law requires us to keep it;
- (d) to withdraw consent at any time;
- (e) to have your grievance redressed by the College;
- (f) to nominate another person to exercise these rights if you die or become unable to.
- 12.2
A parent or lawful guardian may exercise these rights for a child. To make a request, write to the Grievance Officer (Section 15) with enough detail to identify you and your request. We may ask you to verify your identity first, so that we do not disclose your data to someone else.
- 12.3
We will acknowledge your request promptly and respond within thirty days, and in any case within the period the law prescribes. If you are not satisfied with our response, you may complain to the Data Protection Board of India.
- 12.4
The DPDP Act also places duties on Data Principals: when exercising these rights, please do not impersonate anyone, withhold material information when giving us your details, or make false or frivolous complaints.
13. Visitors from outside India
- 13.1
The College operates from India and handles personal data in India. The service providers named in Section 6 may process it in other countries, under their own safeguards.
- 13.2
If the law of your country, such as the EU General Data Protection Regulation, gives you further rights, you may exercise them by writing to the Grievance Officer.
14. Changes to this policy
- 14.1
We may update this Policy when the law, the Website or the College’s practices change. The current version will always be on this page, with the date it was last updated. We will not use data you have already given us for a new purpose without asking for your consent first.
- 14.2
This Policy is governed by the laws of India.
15. Contact and Grievance Officer
- 15.1
For any question about this Policy, to exercise your rights or to withdraw consent, or to make a complaint about how we have handled your personal data, contact the College’s Grievance Officer (Data Protection) at the address, email or telephone numbers below.
